The report labeled 2007 Region Feeder Org TestedCampus.xls (substitute your school's information for region, feeder, org.) will be the spreadsheet. After you click to open the spreadsheet you will probably want to do a Save As... and save the file somewhere you will be able to find it on your computer.

Go to the Data menu and select Filter and then AutoFilter.

You can now filter the data to include only specific categories of students. Click on the button with the inverted triangle in the category (column) you wish to use to filter and select the way you want to filter. In the example below the students are being filtered to only include students who scored at the commended level. You can apply as many filters as you wish - remember that each consecutive filter you apply filters only the list of students left after the previous filter was put in place. In other words, everytime you apply a new filter you will be narrowing down the list. You can either remove individual filters by selecting the button for that column and selecting the value (All) or you can remove all filters by going to the Data menu and selecting Filter and then Show All. For more information on the values in the columns Campus Online has prepared a spreadsheet.

If you wish, you may add a function at the bottom of any column that will summarize the filtered information in one of several ways. Start by scrolling to the bottom of your list and clicking in a cell in the column you are interested in. Leave at least one blank cell at the bottom of the column. See the example below:

In the cell type the formula =subtotal(1,L2:L126). You will need to substitute for L2 and L126 the first cell of data in the column and the last cell of data. So, for example, if you have 536 students listed you would type in L2:L537.
The subtotal function in Excel has several uses. If you type a 1 in the formula before the comma (as in the example above) you will be provided an average of the filtered values. If you type a 2 you will get a count of the number of filtered rows if the column holds numbers. A 3 will count the filtered rows if the column contains text values. Some other useful functions include 4 for maximum value, 5 for minimum value, 9 for total of values. All of these functions only work for numeric values.
